‘Advances’ in Royalties HQ are financial debts that rights holders repay to you via their earned royalties.
- An advance in Royalties HQ represents an amount of money paid by you (the publisher) to a rights holder, (in advance of sales) that the rights holder repays to the publisher from earned royalties.
- Each advance can be for more than one title format (a title format is an edition of a title), even across multiple titles. This is useful if you offer an advance for a series or a range of books.
- Each advance is for one rights holder only.
- Advances are shown on royalty statements (including the current balance and advance name).
- If you pay advances to rights holders in instalments, you enter each instalment in Royalties HQ as a separate advance.
How advances are repaid #
Advances are repaid as a priority using the rights holder’s earned royalties from title formats linked to the advance.
Only when an advance is fully repaid will the rights holder’s earned royalties from the related title formats result in royalties payable to the rights holder.
Royalty earnings from title formats that are not explicitly linked to the advance are not be used to repay the advance.
Create an advance #
To create an advance, follow these steps:
- Go to the rights holder for whom you wish to create the advance (e.g. Use the search bar at the top of each page).
- In their detail view, click on the Financial tab
- Click on the Manage Advances button
- Click the Create Advance button

Enter the details: the amount, the start date, and give the advance a name e.g. the contract name or a useful label, e.g. “Advance for X”. Please note:
- The advance name, remaining balance, and earned royalties repaying the advance will all appear on the rights holder’s royalty statements.
- The start date of the advance determines whether the advance is repaid by earnings in the royalty run. If the start date is earlier than the end of the royalty run period, then all the rights holder’s earned royalties from linked title formats will repay the advance (until the advance is fully repaid).
- Select one or more title formats from the list at the bottom of the page. Note that an advance can be for more than one title format, and the rights holder’s earned royalties from these title formats will repay the advance (debt) as a priority.
- Click Save.
View an advance #
To view an existing advance, follow these steps:
- Go to the rights holder for whom you wish to create the advance (e.g. Use the search bar at the top of each page).
- In their detail view, click on the Financial tab.
- Click on the Manage Advances button.
- The rights holders existing advances will be listed.
