Importing publisher income

Publisher income can be added individually via the Royalties HQ user interface or in bulk via a CSV upload.

If you have multiple publisher income payments to add, bulk CSV upload will be the most efficient method.

Importing publisher income #

To save time, you can bulk upload multiple publisher income payments into Royalties HQ.

First, you must prepare your data in spreadsheet software (e.g. Google Sheets, Open Office, or Excel) with these column headers:

  • Payment date
  • Amount
  • Sales Month
  • Sales Channel
  • Marketplace
  • Note

Prepare your publisher income data for import #

After downloading and opening the publisher income template file (see link above), you must format your data as follows:

  • Amount is required.
    • The amount must be in your publisher currency, not the sales currency
    • Do not include a currency symbol in the amount, use a decimal number only, e.g. 202.19
  • Sales month is the month of the sales that this payment is for. It is optional but recommended as it helps with later reconciliation with sales batches. Sales month must be in the format: YYYY-MM (e.g. instead of 2023/04 it should be 2023-04)
  • Payment date (optional) is the date you received this payment in your bank account. Payment date must be in the format YYYY-MM-DD (e.g. 2023-12-30)
  • Sales Channel is optional, though often useful for reconciling publisher income with sales. If sales channel is included, it must be one of:
    • Amazon
    • Lightning Source
    • Apple
    • Google
    • ACX
    • IPG
    • Findaway
    • Wholesale
    • Other
  • Marketplace is optional, though often useful for reconciling publisher income with sales.
  • Note is optional. You might want to add additional data here to help you when reconciling publisher income with sales, for instance, any payment IDs and/or the exchange rate supplied by your distributor.

Upload your publisher income data #

When your publisher income data is ready (see above), save it as a CSV file, then follow these steps:

  1. In the main menu, choose ‘Publisher Income’
  2. Click the button ‘Import Publisher Income‘
  3. Under ‘Choose your file’ click ‘Browse’ and navigate to your CSV file
  4. Click ‘Next’
  5. The file will be uploaded and validated (checked for problems). You will see the results on a preview page.
  6. If the results look good, click ‘Continue’ and the publisher income payments will be imported (or, if the preview step highlights problems, you will need to fix the data – read the error message and check the requirements above).
