Step-by-step guide to setting up Royalties HQ — import products, rights holders, contracts, and configure your account.
When starting with Royalties HQ, there are four types of data to import — products, rights holders, contract types, and contract usage.
For your initial data import into Royalties HQ, send us the data above in spreadsheet format and we will import it for you.
If you prefer to do this yourself, follow the steps below.
Products (e.g. each ISBN)
Each title is the ‘parent’ with one or more ‘child’ products. For instance, the title ‘My First Book’ may have two products: ebook and softcover, each with their own ISBN or other product ID.
Rights holders
Rights holders are the individuals and companies that own rights to the products. This includes authors.
Contract types
Contract types are reusable bundles or sets of contract terms. For example, if your standard contract assigns 15% of net receipts to an author, then you create this contract type once and reuse it as needed.
If you only have a small number of contract types to add, it may be easier to do this manually in the user interface — see Create contract types. Alternatively, you can use the contract type import.
Contract usage
Use your contract types to link each rights holder to each of their products.
- Import contract usage in bulk using the CSV import at Import > Contract Types. Learn more about importing contract usage.
Next steps
Once the above data is imported, you must check it thoroughly.
Once you’re happy with the data, you can proceed to any of these steps that are relevant to you:
- Decide whether you are importing sales data from your company’s start date, or choosing a later start date
- Check your minimum payout amount on the Settings page
- Confirm your royalty period (how frequently you run royalties) for each title
- Confirm your imprints are correctly added (Settings > Imprints)
- Check all settings
- Configure any advances, expenses, and donation rules
- Configure your sales channels (Settings > Sales Channels)
When the above is configured and checked, you can begin to import your sales data and create royalty runs.
