Importing your data

Bulk import titles, rights holders, contracts, sales data, and publisher income into Royalties HQ using CSV files.

Royalties HQ supports bulk CSV import for all major data types, so you can migrate from spreadsheets or another system without re-keying everything.

What you can import

  • Products: your catalogue of titles and their editions (hardcover, paperback, ebook, audiobook)
  • Rights holders: authors, illustrators, narrators, estates, and companies
  • Contract types: royalty rate structures and terms
  • Contract usage: which contracts apply to which products and rights holders
  • Publisher income: payment records from your distributors
  • Sales data: sales and royalties data from many supported distributors, plus custom sales via our CSV template

CSV templates

Downloadable CSV templates are provided for each import type inside the app. Fill in your data using the template columns and upload. Royalties HQ validates the file and flags any issues before committing the import.

If you’re setting up from scratch, import in this order:

  1. Products: these need to exist before anything else can reference them
  2. Rights holders: the people and entities who earn royalties
  3. Contract types: the royalty terms and rate structures
  4. Contract usage: links contracts to the right products and rights holders

Once your catalogue and contracts are in place, you can begin importing sales data and publisher income on an ongoing basis.

Sales file imports

Sales files from supported distributors (Lightning Source, IngramSpark, Amazon KDP, Kobo, and others) can be uploaded directly without reformatting. For unsupported distributors or e-commerce platforms, use the custom CSV import to map your own columns.
